9. Updating and Uploading a Mail Job List

You want to upload an updated mail job list back into GEARS.

Procedure

  1. Log in to your GEARS account, then generate and save a mail job list.
  2. Make updates in the CSV file to the following fields for the following reasons:
    • To indicate correspondence has been issued: update the Issue Date: A valid date value in the same format as the CreationDate field.
    • To indicate correspondence has been issued and no more correspondence should be issued to specific recipient(s): update two fields, the Issue Date and the Can Send Correspondence fields:
      a. Issue Date: A valid date value in the same format as the CreationDate field.
      b. Can Send Correspondence: A value of "N". 
    • To indicate a preferred address replacement should be used for additional correspondence to specific recipient(s): update multiple fields:
      a. Issue Date: A valid date value in the same format as the CreationDate field.
      b. Can Send Correspondence: A value of "N".
      c. Preferred Address: A value of "Y".
      d. Any updates in the following fields: FirstName, LastName, CareOf, StreetNumber, StreetName, AptSuite, City, State, Zip
  3. Save the format in the same format as the original generated list (CSV format).

    Troubleshooting

    To avoid data format errors, ensure that you save updates in the same CSV format in which the list was generated.
  4. Select +Mail Tracking > Upload Issued Mail and Addresses.
    The Mail Job List upload display is available.
  5. Select Browse... to find the updated mail job list CSV file for upload and enter optional comment for the upload.
  6. Select Upload to import the updated mail job list into GEARs.
    A green success message appears at the top of the upload dialog when complete. If it doesn't upload, a message in brown displays detailing the upload wasn't successful.
